Booking Process

We use a booking system called Membermeister. All current students and parents are registered with it. All new students will need to complete the online registration.

When you book your child into their class you will be subscribing to a monthly direct debit set up through Go-Cardless paid for 11months of the year (no payment in August). This will be taken on the 1st of each month. We offer a two week paid trial, once you have completed the trial we contact you to see if your son/daughter wishes to subscribe to the class. An interim payment will be required to cover the weeks until the next direct debit is due and a link will be sent to cover this and to set up the direct debit. This will be the same if your child joins an additional class.

 

All fees are non-refundable and no refunds will be made for missed classes

 

Class Fees 2025-2026

Payments are taken from your account on the 1st of the month.

 

The fee due for each class are as follows:

Drama Class - £30 per month

Musical Theatre Superstars – £25 per month

Musical Theatre Junior & Senior Cast - £52.50 per month

How to cancel

​If you would like to change your classes or cancel your membership, you must email us at admin@nicolasschoolofdance.co.uk. We cannot accept cancellations by word of mouth, text or social media. We require one month’s notice along with fees. For example, to cancel a payment for 1st November, you will need to email us by 30th September. Your child can continue to attend classes throughout October.

 

Why are we making this Change?​

To help simplify our booking system, we have lots of feedback from parents that they would like to budget and spread the cost of our classes over multiple months so that you will make 11 smaller payments instead of 6 much larger ones. Paying through subscriptions also means that the payments will be processed automatically without the need to click for payment from parents each time. In short it will make it even easier to enjoy classes through NSOD and Charming.

Other Policies – Nicola’s School of Dance Ltd

  • Cancellations: A minimum of 24 hours’ notice is required for all small group training sessions. If notice is not given, the session must still be paid for in full.

  • Returned Cheques: Any cheques returned unpaid by the bank will incur an administration charge.

  • Punctuality: Please arrive on time for all classes. We reserve the right to refuse entry if the warm-up section has been missed. Any injuries resulting from a missed warm-up are the responsibility of the participant, and Charming Theatre accepts no liability.

  • Mobile Phones: Mobile phones should be switched off during classes.

  • Clothing & Footwear: Please ensure students wear appropriate clothing and footwear. Charming Theatre is not liable for injuries caused by unsuitable attire or footwear.

  • Chewing Gum: Chewing gum is strictly prohibited during classes.

  • Supervision: Nicola’s School of Dance Ltd is only responsible for children during their scheduled class times as outlined on the timetable.

  • Medical Needs (Asthma): All children and adults with asthma must bring their inhaler to every class. Charming Theatre cannot be held responsible if an inhaler is not present.

  • Safeguarding: All staff members over the age of 18 hold a valid DBS check and are Licensed Chaperones with Herefordshire Council.

 

Bad Weather & Unforeseen Circumstances Policy – NSOD / CHARMING

In the event of bad weather or unforeseen circumstances (such as snow, heavy rain, flooding, or any other conditions that may pose a safety risk), Nicola’s School of Dance (NSOD) and The Charming Theatre Company (CHARMING) reserve the right to cancel scheduled classes at short notice.

Please note the following:

  • Refunds will not be issued for classes cancelled due to such events.

  • Where possible, NSOD/CHARMING will make reasonable efforts to reschedule the missed session(s) to an alternate day or time.

  • Any rescheduling will be done at the discretion of NSOD/CHARMING, depending on venue availability and scheduling constraints.

  • We appreciate your understanding that the safety of our pupils, families, and staff is our top priority.

We encourage all families to check our official communication channels (email, text, social media) for any updates during periods of uncertain weather.

This page explains what Charming Theatre Company (Charming) does with the personal information you provide us.

 

General

In order to become a student of Charming you are required to tell us personal information about yourself. At the point of collecting the information we aim to clearly explain what it is going to be used for and who we may share it with. Unless required or permitted by law, we will always ask you before we use it for any other reason.

Any sensitive personal information will never be supplied to anyone outside Charming without first obtaining your consent, unless required or permitted by law. We comply with current Data Protection Legislation.

We do not share information with third parties for purposes that are incompatible, such as product marketing.

 

The legal basis for collecting the information

Most of the information is collected because it is necessary for your enrolment to Charming or is required by law. You must provide it in order to enrol at Charming.

 

Parents, carers, guardians and next of kin

For all students it is important that we have details of a contact in case of emergency as such you will be asked to provide details of a parent, carer, guardian or next of kin.

Under the proposed legislation GDPR (General Data Protection Regulation), young people aged 16 and over can decide for themselves and give consent for the processing of their personal information. Parental consent is not required although there may be some exceptions.

Charmign has found that it is very beneficial to the young person’s progress if we are able to engage with the parents (or guardian/carer). Therefore it is very important that we have the parents’ details recorded on our systems.

 

Responsibilities

Charming are the data controller under Data Protection Legislation and the owner is therefore ultimately responsible for implementation.

The designated data controller who is appointed to ensure compliance with the legislation is Edward Owen.
